Features

Everything the entrance needs. Nothing it doesn't.

PassPro follows a visit from the first invitation to the moment the badge is handed back, and keeps the whole site in view in between.

01 · Before the visit

Invite, approve, send the pass.

Most visits are known in advance. PassPro turns that knowledge into a pass in the guest's inbox and an entry on the Today screen, before anyone reaches the door.

Invitations

A host enters an email, a date and a note. The guest completes their own details through a tokenised link, and the pass is issued the moment they finish. No admin step needed.

Pre-registration with approval

Full registrations with purpose, host, duration and documents wait for an administrator. Approval sends the QR pass; the send is recorded, so a failed email never looks like a delivered one.

QR passes that expire

A pass admits its named guest once, on its visit date and within its hours. The server owns the details and consumes the pass at check-in, so a forwarded screenshot cannot be reused.

Events and RSVP

Each session has its own date, start, end, venue, capacity and invitation list. Families and groups RSVP once; every adult gets a separate pass, children are listed by name.

Bulk upload

Import a spreadsheet of expected visitors for a conference, an audit or an induction day, and send every pass in one go.

Branded email

Invitations, approvals and passes go out as HTML email under your logo, with clear instructions and the QR code inline. Delivery is tracked per message.

From invitation to door in four steps

The host never leaves their inbox. The guest never calls reception to ask what to bring. Security sees the name before the car reaches the barrier.

02 · At the gate

Fast for the guard, honest for the record.

Four ways in, one screen for reception. Every path checks the watchlist, records who let the person in, and cannot create the same visit twice.

Walk-in check-in

Name, phone, purpose and host. A phone lookup prefills a returning visitor's basics, never their documents or photo, and the operator still confirms identity.

Photo capture

Take the visitor's photo from a webcam or tablet camera at the desk. Photos are stored privately and only served to signed-in staff with the right role.

QR scanner

One scanner for visitor passes and event passes. Select the event at the door and passes for any other event are refused, even on the same day and venue.

RFID cards

Hand a contractor a card and tie it to this visit. A card belongs to one active check-in at a time, and a failed assignment leaves the card as it was.

Self-service kiosk

A tablet in the lobby lets guests check themselves in. Reception authorises the terminal for eight hours; its session grants kiosk entry only, never staff access.

Badge printing

A CR80 badge with your logo, the visitor's photo, host, purpose and a QR code, ready for a lanyard. Guards can reprint from the visit record.

Watchlist on every path

Permanent or time-limited restrictions, matched on normalised phone and email, block manual, kiosk and QR entry. Each refusal is recorded as a hit for administrators.

Retry-safe check-ins

Patchy lobby Wi-Fi is normal. A check-in sent twice returns the same visit instead of creating a duplicate, and never repeats the host's arrival notice.

Clean check-out

One tap closes the visit, frees the RFID card and notifies the host. Two guards tapping at once cannot produce two departures.

The badge says who vouched for them

Photo, host, purpose and a scannable code on a standard CR80 card. Anyone on the floor can tell at a glance whether a visitor is where they should be.

03 · On site

Live, not refreshed.

Every check-in, check-out and alert is pushed to the screens that should see it, the moment it happens.

Today screen

Visitors on site by type, who is expected and when, who has overstayed, and what needs attention, on one screen for reception, security and management.

Current visitors and search

Find anyone on site by name, phone, host or badge. Hosts see their own visitors; security sees everyone.

Overstays

An approved visit carries its agreed end time. Pass it and the visit is flagged, without guessing deadlines for walk-ins that never had one.

Notifications and push

Hosts get an inbox notice and a push alert when their visitor arrives. Security alerts go to the security audience only, with a backup push channel for reach.

Gate passes

Record what leaves the site and who approved it: equipment, samples, deliveries going back out. Changes reach guard screens live.

Room-scoped live updates

Visitor and gate-pass events reach only reception and admin rooms. A host's updates reach that host. Nothing is broadcast to everyone.

Needs attention, in order

The Today screen sorts the exceptions to the top and links each to the record, so the morning starts with decisions, not scrolling.

04 · Safety

When the alarm sounds, the list is already made.

PassPro treats the visitor record as a safety record. It survives restarts, it cannot be cleared by accident, and it becomes the roll-call the moment you need one.

Emergency mode

Security or an administrator raises it from any screen. Every staff role is alerted, the state is stored durably, and only an administrator can stand it down.

Evacuation roll-call

The roster of everyone checked in, on a tablet at the assembly point. Mark people safe as they arrive and see who is still unaccounted for, by zone.

Incident reports

Guards file incidents from the gate with photos and GPS location. Administrators assign, track and analyse them over time.

Watchlist hits

A refused attempt is kept with the entry it matched, the gate and the operator. Whether the person was held is recorded separately, never assumed.

Private by construction

Photos and documents need a signed-in staff member with the right role. Public links carry one-time tokens; a record ID alone opens nothing.

Issue reporting

Lower-grade problems, a broken turnstile or a flickering lobby light, go through a lighter issue flow with its own analytics.

Roll-call at the assembly point

The list is the live roster, not a printout from this morning. Each tap is timestamped and attributed, so the drill report writes itself.

05 · Administration

Set it up once. Keep control.

Roles, locations, branding, time zones and reports, with the security defaults already switched on.

Users and roles

Reception and security, administrators and hosts. Changing a password or role ends every old session and push registration at once.

Locations and departments

Model your entrances, buildings and departments. Staff directories give hosts a name to pick, and visits a place to go.

Reports and analytics

Visits by day, type, host and entrance; dwell times; watchlist and incident trends. Export to spreadsheet for whoever asks.

Branding per organisation

Logo, band colour and accent colour. Contrast is checked so text stays readable on any brand colour, on screen and on the badge.

Time zone and language

One configured zone drives day boundaries, expiry, email dates and report grouping. The interface is available in several languages per user.

Security defaults

Twelve-character minimum passwords, throttled logins, private uploads, hashed public tokens, loopback-only database. On by default, not as an upsell.

Who can do what

The server enforces every rule; the interface only shows what the signed-in person may do.

See it on your own entrance.

Thirty minutes with the team. We'll run a walk-in, an invitation, an event pass and a roll-call, then talk about your site.
